This tool uses a four-quadrant matrix to prioritize tasks by urgency and importance. By categorizing your actions into these quadrants—urgent and important, urgent but not important, important but not urgent, and neither urgent nor important—you’ll create clarity around where your focus should be and what can be deprioritized or removed.

Step 1: Brain Dump Everything You Have Going On

List out all the tasks, commitments, and responsibilities currently on your plate. Don’t filter or categorize yet—just get everything down.

Step 2: Sort the Tasks into the Eisenhower Matrix

Take your list and start categorizing each task into one of the four quadrants:

  • Do (Urgent and Important): These tasks require immediate attention and directly impact your goals. Prioritize them first.

  • Decide (Important but Not Urgent): These tasks matter, but you can schedule them for later. Plan when to tackle them.

  • Delegate (Urgent but Not Important): These tasks need to be get done but can be handled by someone else. Find the right person or resource to take them on.

  • Delete (Neither Urgent nor Important): These tasks don’t add value and can be eliminated. Clear them off your list.

Step 3: Create Your Action Plan

Now that you’ve sorted your tasks, focus on tackling your “Do” list first. For the “Decide” list, block out time in your calendar to handle those tasks. Delegate what you can, and confidently cross off anything that falls into the “Delete” category.
